Door Sample Orders: Process, Costs & Approval Checklist

Quick answer: A useful door sample is a production rehearsal, not a souvenir. Order at least one full-size representative set for each critical construction or finish family, approve it against a written checklist, seal duplicate references and link its ID to the bulk order. For planning, buyers commonly allow 7-15 days after drawings are frozen for a sample and 1-5 sample sets; complex fire, glazed or veneer-matched work can take longer.

Decide what the sample must prove

A small colour coupon proves only colour under one light. A full-size door proves machining accuracy, edge quality, core weight, finish texture, frame fit, hardware preparation and packing. If the project includes fire, acoustic or glazed configurations, the sample should not pretend to certify performance, but it must reproduce the construction and preparations that mass production will use. State whether frame, architrave, seals and hardware are included.

Issue a sample drawing pack

Send leaf size, thickness, design geometry, veneer direction/matching, finish code and gloss, edge detail, frame section, hardware model and machining positions, handing and any rating evidence expected. Mark which face is the show face and identify acceptable colour variation with limit samples for natural veneer. Many sample disputes are actually missing-datum disputes: spindle height from finished floor, backset, hinge template and glass sight size should be explicit.

Budget time and cost transparently

Sample charges normally reflect one-off setup and may be charged at a multiple of unit cost or as a fixed fee, with international freight separate. A planning allowance of roughly US$80-300 plus freight suits many standard full-size samples, while oversized, veneer-matched or rated constructions can exceed it. Agree whether any sample fee is credited against a qualifying bulk order; do not assume it. Courier dimensions can force a cut-down sample, so decide before production what evidence will be lost.

Inspect and seal the approval

  • Dimensions, diagonals, bow/twist and edge quality.
  • Moisture readings at several components.
  • Finish colour/gloss under neutral and project lighting.
  • Veneer matching, face defects and film/paint adhesion checks agreed in the spec.
  • Machining positions and trial hardware fit.
  • Weight, packed dimensions and packing strength.
  • Photograph all faces/edges and label the sample ID on a non-show edge.

Connect the sample to mass production

Retain one approved reference at the factory and one with the buyer where practical, or retain finish panels cut from the same batch. The purchase contract should state that production follows the sample and drawings, with agreed tolerances for natural variation. Pre-shipment inspection then has a physical reference instead of a memory of a video call. If the sample changes, issue a new revision rather than editing messages in chat.

Specification checklist: what to confirm before ordering

  • Door schedule with sizes, quantities, hand, design and finish for every line.
  • One baseline specification and an inclusion/exclusion matrix for frame and hardware.
  • Sample count and timing, production planning band and milestone triggers stated.
  • Packed dimensions, gross weights, stack limits and container plan confirmed before booking freight.
  • Inspection method, payment milestones, change control and claim process written into the order.

FAQs

Is a small finish sample enough?

For colour pre-selection yes; for a bulk door order no. A full-size set is needed to verify fit, machining, edge work and packing.

How many sample designs should I order?

One for each construction/finish/hardware family that could fail independently. Colours on the same construction may sometimes be approved with panels after one full-size proof.

Should sample cost be refundable?

Only if the supplier agrees in writing and the qualifying bulk threshold is stated. Treat freight separately.

Data note: Figures described as typical, common or planning ranges are industry budgeting ranges with the stated assumptions. Building-code duties, tested scope and final quotations depend on destination, selected construction and order schedule.
